Who we are
Cadence is a caseload-management and session-documentation tool for school speech-language pathologists, operated by Sentient Music Technologies, LLC (Colorado). It is used only by the therapy provider: it is not student-facing, not parent-facing, and collects nothing from students directly. All records are entered by the provider in the course of delivering services.
What we store
Your account stores what you put into it: student records (a label, grade, teacher, service minutes, IEP dates, eligibility information, notes), schedules, IEP goals and objectives, session plans and notes, progress-monitoring data, language-sample transcripts, progress-report drafts, documents you upload for extraction, and a materials catalog. A complete field-level inventory in the format required by C.R.S. § 22-16-108 is available to any school district on request. We do not collect student Social Security numbers, dates of birth, biometric records, photographs, family financial information, discipline records, or location data as structured fields.
The tool supports — and for unreviewed district use, expects — de-identified operation: students entered as codes rather than names, with enforcement features (redaction attestation and automated screening on uploads) built in.
What we never do with your data
- We do not sell it — to anyone, for anything.
- We do not show advertising or use advertising trackers.
- We do not build profiles of students, and we do not use student data for any purpose beyond the therapy documentation you create.
- We do not share it with third parties, other than the infrastructure subprocessors below, and we do not permit AI providers to train models on it.
- We do not put student data in logs, analytics, or telemetry — the application contains no analytics at all.
How it is protected
- Every account is isolated at the database layer (row-level security on every table): one provider can never read another's records. This isolation is verified by an automated test suite.
- Data is encrypted in transit (TLS) and at rest. Uploaded documents live in private storage readable only by their owner.
- Accounts are password-protected with email confirmation and self-service password reset; new sign-ups are invite-only.
- AI features (document extraction, report drafting) run server-side under commercial API terms that prohibit training on the data; nothing AI-generated is committed to your records without your review, and AI outputs never leave your account.
Subprocessors
Hosting and database: Supabase (PostgreSQL, SOC 2–audited infrastructure) and Vercel. AI processing: Anthropic, under commercial API terms that exclude model training and delete API data within 30 days. Current subprocessor documentation is available on request.
Retention, export, and deletion
Records are archived rather than silently deleted; deleting a student is blocked whenever clinical history exists (archiving is offered instead), and discarded document uploads are genuinely destroyed — the file and its extracted values. You can export everything in your account (JSON and CSV) from Settings at any time. Full account deletion is available on request and destroys the account's data.
School districts
Cadence is designed to operate under FERPA's school-official framework and the Colorado Student Data Transparency and Security Act (C.R.S. § 22-16), including its prohibitions on sale, targeted advertising, and profiling, and its data-security and destruction duties. We will execute a district's data-privacy agreement, furnish security and subprocessor documentation, and support a district-directed review. Contact us at the address below.
Breach notification
If we become aware of unauthorized access to your data, we will notify you — and, where student information is involved, the affected school district — without unreasonable delay, with what we know, what we've done, and what we recommend.
